POSITION: Records Clerk I
GENERAL STATEMENT OF DUTIES
Under general EPD supervision, performs general clerical and record keeping duties and related law enforcement work as required. This position requires a high degree of customer service. The environment is fast paced and contains sensitive information. Most public contact is under adverse conditions and tact diplomacy, and confidentiality is necessary.
QUALIFICATIONS
- Demonstrate regular and predictable attendance.
- Must be able to perform heavy manual labor, which includes lifting, reaching, stretching, and bending.
- Must have and continually maintain a working telephone (proof will be required and records must be kept up to date).
- Must be trustworthy and able to communicate satisfactorily with other employees and the general public.
- Must be at least eighteen (18) years of age.
- Completion of high school diploma or GED or equivalent combination of training and/or experience with some knowledge of office terminology, procedures and equipment.
NOTE: Applicant will be subject to an extensive criminal and traffic police background check that may include fingerprints, background investigation as prescribed by LEADS and BCI for certification in computer operations, psychological profile, drug test, voice stress analysis and credit history. Applicants who do not pass such check cannot be considered.
The successful applicant will be required to sign a Confidentiality Standard Statement of Agreement regarding professional and business sensitive issues related to this role.
SPECIFIC DUTIES
- Collection, sorting and classification of daily complaints; recording of data as required.
- Review reports to determine proper classification to be assigned.
- Complete assigned State and National reports as required.
- Complete division statistical reports as assigned and record monthly data for analysis.
- Answer and record citizens’ complaints and requests for services.
- Collection of all fees due to the city derived through services provided in the police record room.
- Assemble, collect, and preserve all data necessary for completion of reports required of the Elyria Police Department.
- Help train future records clerks.
- Process records request for the general public
- Entering all warrants from the court systems.
KNOWLEDGE, SKILL & ABILITIES
Math and English language grammar and spelling skills are required. Some knowledge of bookkeeping is necessary. Ability to enter accurate information into the records system is essential. Ability to understand and follow complex oral and written instructions along with the ability to maintain complex clerical records and prepare reports.
EQUIPMENT OPERATED
The following are examples only and are not intended to be all inclusive: Computers, typewriters, copiers, adding machines, FAX machines and any applicable office equipment.
RATE OF PAY: $45,000- $47,500
SCHEDULE OF HOURS:
Primary hours of work will be Monday – Friday, 7:30 a.m. – 4:00 p.m.
***May involve some overtime per Collective Bargaining Agreement***
This position demands off-schedule hours, call-in hours, stand-by work, and other non-routinely scheduled duties. Incumbents must understand that their flexibility is second to the City’s work demands during times of weather or service emergencies.
